You need a written version of a meeting, an interview, a lecture or a long voice message. You can listen to the recording and type it out yourself, but transcribing an hour of audio by hand usually takes several hours. There are five different ways to transcribe audio to text today; which one suits you depends on how long the recording is, how many people are speaking and what you'll use the text for.
#The options at a glance
| Method | Good for | Limitation |
|---|---|---|
| Typing it out by hand | Short recordings, work that needs word-for-word precision | Very time-consuming; tiring and error-prone on long recordings |
| Your phone's voice typing | Taking notes on the spot while you speak | Doesn't convert a recorded file; playing the recording through a speaker increases errors |
| Transcription features in office software | Short files, if your office suite has the feature | Depends on language support, file length and licence terms |
| General-purpose chat assistants | Short audio files | File size and length limits on long recordings; limited speaker separation and output formats |
| Transcription services | Meetings, interviews, lectures, podcasts, videos | Results depend on recording quality; check the privacy terms |
#How does AI transcription work?
Speech recognition models split the recording into short segments, convert each segment to text and join the segments together with timing information. Most tools detect the source language automatically. Because the timing is kept, the same transcript can also be turned into a subtitle file (SRT). The result is a word-for-word transcript; punctuation and paragraphs are added by the model too.
#Step by step: turning a recording into text
- Get the recording as a file. A voice recording on your phone, a meeting recording or a video; save voice messages as files using the share menu. If the tool doesn't support the format, convert it to MP3.
- Choose the language or leave it to automatic detection. If the recording contains more than one language, choosing the main one improves the result.
- Choose the output format: plain text (TXT), an editable document (DOCX), PDF for sharing or SRT for video subtitles.
- Review the transcript. Names, numbers, abbreviations and industry terms are where mistakes are most common.
#What affects accuracy?
- Audio quality: Clear speech close to the microphone is always transcribed more accurately.
- People talking at once: When people interrupt each other, those sections can get mixed up.
- Background noise: Café noise, traffic, air conditioning and echo increase errors.
- Terms and names: Product, person and company names the model hasn't heard before may be spelt wrongly.
#Free options
Voice typing on phones is free but only works with live speech. For recorded files, most transcription services offer limited free use. With our own product, Transify AI, you can try a 5-minute recording without signing up, and a free account gives you 200 minutes a month; more than 20 audio and video formats are supported, including MP3, WAV, M4A, MP4 and MOV, and the result arrives in your inbox as TXT, PDF, DOCX or SRT.
#Privacy: where does your recording go?
Meeting and call recordings often contain personal data, commercial information or customer details. Before choosing a tool, check which country the recording is processed in, how long it is kept and whether it is used for training. In Transify, media files are deleted automatically after 30 days by default; on the Pro and Team plans you can choose deletion after 24 hours. For organisations, we describe set-ups in which recordings are processed in-house in on-premises AI and data protection.
#When a transcript isn't enough: summary, decisions and tasks
The transcript of a one-hour meeting runs to dozens of pages, and usually nobody reads it from start to finish. What you generally need is a short summary, the decisions made and who will do what by when. We explain how to produce this by hand or with AI, with a sample template, in our guide on how to write a meeting summary. For specific needs such as adding transcription to your own application or analysing call recordings, see our AI solutions page.

Frequently asked questions
Can I transcribe audio to text for free?
Voice typing on phones is free but only writes down live speech. For recorded files, most transcription services offer limited free use; for example, Transify AI lets you use 5 minutes without signing up and 200 minutes a month with a free account.
Can a WhatsApp voice message be converted to text?
Yes. Some versions of WhatsApp have a feature that transcribes voice messages inside the app; language support varies by device and version. For long messages, you can save the voice message as a file using the share menu and upload it to a transcription tool.
Can ChatGPT transcribe an audio recording?
General-purpose chat assistants can help with short audio files. For long meetings, tools built for transcription are more practical when it comes to file size and length limits, output formats and separating speakers.
How accurate is automatic transcription?
Accuracy depends mostly on recording quality. With clear recordings and little background noise, the result is largely accurate; names, numbers and industry terms should always be checked.
Can the audio from a video file be transcribed?
Yes. The audio in video files such as MP4 and MOV can be transcribed directly, and an SRT subtitle file can also be produced with the timing preserved.
