Most clinics still take appointments by phone. That means patients who call after hours are lost, lines are busy at peak times and calendars kept on paper or spreadsheets are prone to double bookings. An online booking system lets patients choose for themselves, while your team manages everything from a single screen.

#Benefits of online booking for clinics

  • 24/7 booking: Patients can pick a time at night; the request doesn't wait until morning.
  • Less phone traffic: Reception can focus on patients instead of routine booking calls.
  • No double bookings: Every doctor's availability is managed in one place.
  • Fewer no-shows: Automatic reminders reduce forgotten appointments.

#Must-have features

FeatureWhy it matters
Per-doctor / per-service calendarEach doctor has different working hours and treatment durations.
Admin panelOne screen to see, move and cancel every appointment.
Doctor panelDoctors see only their own appointments and patient notes.
SMS / WhatsApp remindersAutomatic reminders before the appointment lower no-show rates.
Multilingual interfaceInternational patients can book in their own language.
Calendar syncSynchronisation with calendars such as Google Calendar.

#Data protection and patient data

A booking system collects names, phone numbers and sometimes health-related information, so it is sensitive under data protection law (KVKK in Türkiye, GDPR in the EU). Ask only for the information you need, show the privacy notice at the booking step, restrict access to authorised users and decide where data is stored and for how long. Encrypted connections (HTTPS) and regular backups are basic requirements.

#What to decide before set-up

  1. Appointment types and the duration of each (consultation, check-up, treatment, etc.)
  2. Doctors' working days, hours and breaks
  3. Rules for same-day and last-minute bookings
  4. Cancellation and rescheduling policy
  5. When and through which channel reminders are sent

#Off-the-shelf software or a system built for your clinic?

For single-doctor clinics with standard treatments, off-the-shelf booking tools may be enough. If you have several doctors, different treatment durations, international patients or need full integration with your website, a system built for your clinic is more flexible and economical in the long run. The appointment system with admin and doctor panels we built for the Dt. Ömer Albayrak clinic is one example.

Frequently asked questions

Can an online booking system be added to our existing website?

Yes. The booking screen can be connected to your current site or run on a separate subdomain (e.g. booking.yourclinic.com).

Do patients have to create an account?

No. A quick booking needs only a name, phone number and preferred time; optional accounts can be added for returning patients.

Which channels are reminders sent through?

SMS, WhatsApp or email — planned around the channel your patients use most.
